Applying Retention and Disposal schedules to University Records |
The University utilises an off-site storage provider for paper records. For further information regarding the storage of paper records contact the Records and Archives Office.

|
Determine the type of numbering to use on the archive boxes consistent with the current archiving practices of the division, faculty or school.
Examples of numbering for archive boxes:
BSL/05/000 INT/05/000 AHS/05/000
Label the boxes using the Archive Box Label making sure that meaningful descriptions are used for easy retrieval. |

Complete the Archive Directorate Form listing the archive boxes to be stored. |
|
Send the completed Archive Register form via email to the Records and Archives Office.
The Records and Archives Office will organise the off-site storage provider to pick up the boxes from any division, faculty or school. |

NB: There are costs associated with the storage and retrieval of University records. Contact the Records and Archives Office for current charges. |

Fill in the Request for Retrieval of off-site Paper Records form. |

Email or send the form to the Records and Archives Office. |
|

The box will take approximately 1-2 working days to arrive at the requestor's office. |

Notify the Records and Archives Office of the intention to either:
Retain the box or Return the box to off-site storage |
